Award of Tender will also take place at this phase.

Invitation to Tender

An official document known as an Invitation to Tender (ITT) is used by businesses to request bids from prospective suppliers for a good or service. The ITT is the key to a successful tender process. A compelling and effective ITT will attract the best suited bidder. Information such as the company’s requirements, the project’s schedule, and the assessment standards are essential considerations to be included in the ITT. Suppliers must receive sufficient project information from the ITT. Well-defined information enables clients to articulate their needs and requirements, to ultimately pave the way for successful partnerships. It is important to have clarity and comprehensiveness in conveying project specifications, expectations, timelines, evaluation criteria, and legalities. After receiving quotes, the organization will assess them and choose the tenderer that can best suit their needs.

Prequalification of Tenderers

Prequalification of tenderer, also known as supplier or vendor prequalification, is a process that organizations use to assess and shortlist potential suppliers or contractors. This process is crucial to make sure that the suppliers invited to bid are qualified to legally conduct business transaction with the organization. The prequalification stage allows the tenderer to be involved in early contractor involvement. They have the opportunity to participate in the brainstorm of the project, and become familiar with the project team. Furthermore, they may provide a more cost-effective solution to accomplish the project. Procurement team also get the opportunity to filter the bidders who fulfil the terms and conditions and eliminate those bidders who are not able to fit the requirement.
